Send alert notifications to offline users for fast collaboration

GroupTalk now introduces a new notification feature that enables organizations to quickly deliver important information via a notification to relevant resources.

In the event of an extraordinary incident, the administrator (emergency coordinator) can choose to send the notification as an alert notification. An alert notification overrides both silent mode and do not disturb mode on smartphones, ensuring that the recipient is immediately notified. This feature allows organizations to reach employees quickly in situations where time is critical, such as major operational disruptions, serious incidents, safety issues at a school, a fire at a facility, severe weather affecting public services, or other security incidents that require rapid coordination.

One of the most powerful aspects of this feature is the ability to send notifications to offline users. This means that GroupTalk users who are currently offline can still receive the notification—something we know will provide significant value to our customers. Watch the video below to understand how this operates in real-life scenarios, where every second is critical.

When selecting recipients, there are three different options. The notification can be sent to specific users, user categories, or all users within the organization. The preparedness coordinator or administrator therefore has full control over who receives the notification, ensuring that the right person is informed and can act accordingly.

When recipients receive the notification, they can quickly join their GroupTalk talk group to coordinate in real time. This gives the organization an immediate shared situational awareness and enables group voice communication—without switching systems, making multiple calls, or relying on individual communication. This feature is designed for all types of organizations that need to reach people quickly: schools, municipalities, companies, healthcare, industry, and other environments where rapid coordination is critical.

With the support of the GroupTalk dispatcher, management can for example track resources on a map, see which users are available, and what competencies are available. This can be visualized using the status function or callsign. This makes it possible to quickly assign tasks, send additional information, and ensure that the right person moves to the right location. Information can be shared between all users via voice and text. Furthermore, video calls are supported between mobile users and PC Dispatch, providing more detailed insight into the situation.

How to send a notification

1. Log in to GroupTalk admin.

2. Click “Send Notification” in the left-hand menu.

3. Enter an appropriate title and message for the situation. Examples for healthcare, municipal, and school organizations are provided below:

Message: The medical records system will be updated at 14:30. Access may be temporarily limited. No action required.

Title: Missing patient
Message: A patient in ward 4C has left their care room. Connect to the GroupTalk app. Check nearby areas immediately.

Title: Staff information
Message: Water shutoff in part of the municipal building from 10:00–12:00. Staff are advised to use water on the first floor during this time.
 
Alert notification:
Title: Tree fallen across walkway
Message: A fallen tree is blocking the walkway at City Park. Technical staff are requested to address immediately. Connect to the GroupTalk app and report when on site.

Message: Gym A is booked for an external activity from 14:00–16:00. Move afternoon PE classes to Gym B.
 
Alert notification
Title: Missing student
Message: Student Elias Andersson from class 4F is missing. Connect to the GroupTalk app and start the school’s rapid location check routine.
 

4. Check “Send as alert” if the notification should be sent as an alert notification (overriding silent and Do Not Disturb modes).

5. Check “Also send to offline users” if the notification should reach offline GroupTalk users.

6. Set how long the notification should remain visible. By default, notifications remain for 1 day. For alert notifications, adjust this duration as critical situations are typically short-lived.

7. Choose the recipients. The list of users and user categories is organization-specific and will differ for each organization. Select the recipients who should receive the notification.

8. Click “Send Notification”.
